What is it?
A fixed-price quotation records the work offered and its price, unlike an estimate of a likely cost. Whether and how a contract forms depends on the actual agreement. Keep required consumer information and any early-start request with the quote, not just a signature on the PDF.
About this template
Record the proposed scope, your own prices, timing and payment terms before work is agreed. This blank printable PDF has labour/materials rows, totals, exclusions and acceptance fields. Complete it from the actual survey and agreement, and retain revised copies when the scope changes.
When to use
- When a customer asks for a price for a specific, well-defined job
- Before agreeing work where the scope, price and terms need a shared written record
- When competing against other tradespeople and you want a clear, professional document to stand out
- For insurance-funded work where the insurer requires a formal written quote
- When the scope of work is clear enough for you to commit to a fixed price
- For commercial tenders where a formal quotation document is required
Tips
- 1Price from the assessed scope and your actual labour, materials, overheads and tax treatment; resolve missing site information before committing
- 2Choose a validity date that reflects supplier prices and your capacity, rather than treating a fixed number of days as a legal rule
- 3Review every preprinted exclusion and assumption; mark what applies and retain the information supporting it
- 4Keep confirmation of billing details where the payer or billing address differs from the site; the PDF has no separate labelled billing-address field
- 5Give each accepted revision a reference and retain the acceptance and required consumer information before starting the agreed work
Fill the printed quote in six passes
1. Complete business, customer and site details, reference, quote date and validity. Confirm the billing details separately where needed.
2. Write the assessed scope. Review the preprinted exclusions and assumptions, retaining the site information that supports them.
3. Enter each description, labour and materials amount. Calculate the subtotal, applicable VAT treatment and fixed total yourself.
4. Fill the start/completion and deposit, staged-payment and final-balance fields from the actual agreement.
5. Record the applicable warranty and cancellation information. Keep any required consumer information, express early-start request and full-performance acknowledgement alongside the quote.
6. Keep the accepted copy and each later revision. Connect the quote to the actual job, completion documents and invoice.
Copy a quote-to-handover index
Quote reference/revision: ___; assessed scope: ___; price basis/date: ___; billing details confirmed: ___; customer information supplied/date: ___; acceptance record: ___.
Approved change/reference: ___; actual completion/date: ___; handover documents and recipient: ___; invoice/payment references: ___. Keep booking, completion and payment separate.
Use /quotes for the proposed scope and customer agreement, then keep the work and documents together at /job-management.
