Best apps for painters and decorators: choose by the job

Choose apps for quoting, multi-visit decorating jobs, colour decisions and accounts, with a fictional hallway job to test the workflow.

Choose the app for the task you need to finish

For a decorating business, compare job apps on a complete job: enquiry, survey, quote, preparation visit, finishing visit and invoice. Use a colour app for choosing a finish and accounting software for the books. Each solves a different problem.

  • Job records and quoting: Tradehand or a conventional job-management app such as Tradify.
  • Colour discussion: Dulux Visualizer.
  • Accounts and tax: FreeAgent or the accounting software your accountant supports.
  • Very low volume: a shared diary, job sheet and PDF quote can be enough to start.

This keeps the existing apps-by-task shortlist separate from our accounting software guide and trade CRM comparison. Compare the exact plan, people and devices your business needs.

Tradify’s current plan table puts features such as photos/files, quote acceptance, reminders and timesheets at different levels, with some SMS and website charges separate. Compare the plan needed for your job rather than a headline starting price. For Tradehand, see current plans and payment fees.

Choose job software when repeated visits, scope changes and office handovers are the problem. A paint calculator or bank app does not hold that history.

Test one hallway job before choosing

Fictional comparison task: decorate hallway walls and ceiling over two visits; woodwork excluded; customer chooses the colour after the survey. Use the same sample scope in each shortlisted app. This is a task to try, not a claim that we timed or tested every product.

  1. Enquiry: record full address, access person and confirmed customer. Keep the photos with the job.
  2. Quote: name surfaces, preparation, finish/coats, materials responsibility, exclusions and total with VAT treatment.
  3. Decision: retain the accepted quote revision. A colour choice alone is not price approval.
  4. Visits: record preparation and finishing dates separately under the same job.
  5. Addition: price a requested door repaint separately and retain approval before including it.
  6. Handover: a colleague finds the current scope, unfinished items and paint receipt without another explanation.
  7. Invoice: prepare the agreed amount for the instructed recipient; reconcile payment rather than treating a promise as paid.

Write down where you needed a second app or repeated entry. Test the real devices, colleague accounts and plan you intend to use. The daily handover worksheet makes the missing information visible even if you choose a manual setup.

Colour and quantities: use different evidence

Dulux Visualizer is a free colour visualisation app for iOS and Android. Dulux describes a colour picker, live wall preview and sharing ideas. Use that to discuss a scheme, then record the chosen colour, product and finish in the quote.

For quantities, measure the actual surfaces and use the selected paint’s coverage and coat instructions. Deduct or include openings consistently and record your allowance for preparation and waste. Keep the measured quantity separate from a colour mock-up. The materials take-off sheet explains units, waste and supplier selling sizes; the quote template carries the agreed scope.

Accounting apps and Making Tax Digital

Choose accounting software around your business type, VAT status, tax obligations and accountant’s workflow. FreeAgent’s pricing varies by business type and monthly/annual billing. FreeAgent lists access through eligible NatWest, Royal Bank of Scotland, Ulster Bank and Mettle business accounts; the Mettle route requires at least one transaction a month and optional add-ons can cost extra.

HMRC’s Income Tax timetable starts from 6 April 2026 for qualifying income over £50,000, from 6 April 2027 over £30,000 and from 6 April 2028 over £20,000. Qualifying income includes gross self-employment and property income. Read HMRC’s guidance for your start date and eligibility. A tax threshold does not describe Tradehand’s pricing.

For choosing between FreeAgent, Xero and other accounting options, use the dedicated accounting guide above. Keep the job’s agreed selling price, actual costs and payment status available to whoever does your books.

Start with one useful job record

Bring one current decorating job into your chosen setup, with the right site, confirmed people and scope. Add the quote and both visits before testing extra features. See Tradehand’s job-management workflow; Free includes the Assistant and paid plans add automation and more usage.

If your customer messages are already on WhatsApp, use the manual WhatsApp job-record routine. You can get the workflow in order before choosing an app.

Frequently asked questions

What is the best app for a painting and decorating business?

Choose by the job you need done: a job-management app for quotes, visits and invoices; Dulux Visualizer for colour discussion; accounting software for the books. Try the same decorating job on your real devices before choosing.

Can I manage a decorating job without paid software?

Yes. A shared job record, diary and quote/invoice templates can handle a small workload. Keep the accepted scope, visits, additions and payment status together; manual work is also available on Tradehand Free.

What should I compare in decorator apps?

Use one enquiry-to-invoice task with two visits and a scope addition. Check quote revision and acceptance, colleague access, photos/receipts, invoice recipient and the price of the plan that actually provides those features.
