Every hour you spend on paperwork is an hour you're not on the tools earning. Enter your trade, weekly admin hours and day rate, and this report converts that lost time into a real yearly figure, then shows you which admin jobs to cut or automate first so you get those billable hours back.

How to use the Hidden Admin Cost Calculator

  1. Pick your trade so the report frames the numbers in terms you recognise.
  2. Estimate your weekly admin hours: quoting, invoicing, chasing payment, booking jobs, ordering materials, answering messages in the evening all count.
  3. Enter your day rate. We convert it to an hourly value so your admin time is priced at what you'd otherwise earn on the tools.
  4. Get your report. It shows the true annual cost of your admin and ranks which tasks are worth cutting or automating first.
  5. Use the figure to judge whether tools or help that free up those hours would pay for themselves, and usually they do many times over.

How the Hidden Admin Cost Calculator works

Admin doesn't show up on an invoice, so it feels free, but every hour spent on it is an hour you couldn't bill. Price it at what your on-the-tools time is worth and the real cost becomes obvious.

Annual admin cost = admin hours/week × 52 × (day rate ÷ working hours per day)
  1. 8 hours of admin a week × 52 weeks = 416 hours a year.
  2. A £350 day rate over an 8-hour day is about £44 an hour of earning power.
  3. 416 hours × £44 = roughly £18,300 of billable time lost to admin every year.

That's the opportunity cost, not cash out the door, but it's real: those are hours you could have sold. The calculator uses your own figures, and even halving the estimate, the number is usually thousands of pounds a year.

Typical UK benchmarks

UK small business owners, including electricians, plumbers and builders, lose an average of 8 hours a week to repetitive admin (HeyBRB UK Admin Drain Report 2026, 167 UK small business owner-operators, March 2026)
Working weeks a year lost to admin
8 hours a week works out to 384 hours a year, the equivalent of ten full working weeks (HeyBRB UK Admin Drain Report 2026, March 2026)
Small firms hit by late payment
61% of small firms say late payment is holding their business back from reaching its full potential (FSB Late Payments Report 2025, published 6 March 2025, survey of 2,000+ small businesses)

Frequently asked questions

Is admin time really a cost if I'm not paying anyone?

Yes, it's opportunity cost, and it's the biggest hidden expense most sole traders have. Every hour on quotes and invoices is an hour you couldn't spend earning on the tools. You don't see it leave your account, but it's the reason you're working evenings and still not getting ahead.

How much admin is normal for a one-person trade business?

A 2026 survey of 167 UK small business owners, including electricians, plumbers and builders, found they lose an average of 8 hours a week to admin: quoting, invoicing, chasing payments, booking jobs and ordering materials (HeyBRB UK Admin Drain Report 2026). That's most of a working day gone every week, roughly ten full working weeks a year, and it usually happens after hours because the day is spent on jobs.

Which admin tasks waste the most time?

The same 2026 survey of UK trade, property and service businesses found email, invoicing, chasing payments and portal management were the top four admin drains, and when asked which single task they'd most want to automate, 21% of respondents named invoice chasing and overdue payment follow-up (HeyBRB UK Admin Drain Report 2026). They're repetitive, they don't need your skill, and they're exactly the tasks that automate well, which is why they're the first ones worth cutting.

Can I really cut this time down?

A lot of it, yes. Templated quotes, automatic invoice reminders and instant booking replies remove most of the repetitive work. You won't get to zero (some admin needs you) but halving it is realistic, and this report shows you which tasks to tackle first for the biggest saving.

Is it worth paying to reduce admin?

Compare the annual figure this calculator gives you against the cost of a tool or a few hours of help. If admin is costing you fifteen thousand pounds of billable time a year, anything that recovers even a third of it and costs a fraction of that pays for itself easily. For most trades the sum isn't close.

How does Tradehand cut my admin?

Tradehand is the software your business runs on, and your assistant does the admin inside it: it answers the calls and messages, builds and sends the quotes, invoices customers, chases late payments and books the jobs, so the paperwork stops eating your evenings. Get a free demo and we'll show you how many hours it gives back on your own numbers.

Get on with the work.
